The Glossary

Operational chaos has a vocabulary. Most founders have felt every word of it long before anyone named it.

These are the terms we use at It's Handled™, the operational architecture firm for consultants, coaches, and boutique agency owners. If you recognize yourself in one, you already know where to start.

Ops chaos is optional. So is suffering through it without the right words.

The Condition

The Touch Tax

The compounding cost a founder pays every time she manually handles something that should be systematized. Every repeated manual touch is a tax the business keeps charging. Once the system is built, the Touch Tax disappears.

The Profit Leak Scorecard measures it. The Running Cost puts a price on it.

Operational Debt

The compounding cost of unarchitected accumulation, tools, workarounds, and decisions added without a governing structure, that does not resolve on its own but grows heavier and less legible with every week it goes unaddressed, often disguised as a temporary phase rather than a standing structural problem.

Operational Debt is the condition. The Touch Tax is what it charges you daily.

Founder Martyrdom (as a Business Model)

The cultural belief that founder indispensability signals success. The enemy underneath all of it.

The Forms It Takes

Silent Sinkholes

Tasks or processes that drain founder time quietly and consistently without triggering alarm. The polite, persistent, almost invisible drains that look like normal work but are architectural failures in disguise.

Hostage Files

Any process, decision, or institutional knowledge that lives exclusively inside the founder's head, making the business impossible to run, delegate, or exit without her direct involvement.

Unextracted Intelligence

The operational logic, judgment calls, decision thresholds, and tribal knowledge that exist only inside the founder and have never been captured, documented, or transferred to any system or team member.

Manual Minutes

Time spent by hand on work a system should already be doing. Each one is small enough to ignore. Together they become the week you never get back.

The Standard

Ops chaos is optional

The founding belief of It's Handled™. Operational overwhelm is a solvable system failure, and a business can run without its founder standing in the middle of it.

Operational Architect

An operations consultant who designs the structure a service business runs on: its workflows, handoffs, decision rules, and documentation. The goal is a business that works the week the founder doesn't. Architecture comes first, and AI enters only once there is something stable for it to carry.

Rachel Lavern, founder of It's Handled™, is an Operational Architect with 22 years of Fortune 500 operational leadership and an MBA from UC Berkeley Haas.

The Six Pressure Points

The six places an operational leak can start: people, process, technology, measurement, culture, and externalities. Every Excavation examines all six.

The Circle

A standard of operating, entered by practice rather than invitation. Outsiders accept chaos as normal. Circle-level operators design it out.

The Circle Standards

Chaos is designed out, never patched over. Systems run on triggers, not founder vigilance. AI serves the architecture. Manual minutes are retired on arrival.

The Rooms

The Profit Leak Scorecard

A free 10-question assessment, about eight minutes, that shows where a business still runs on its founder instead of through her. It names where the Touch Tax is bleeding time and which workflows are one departure away from collapse.

Free

Triggers and Trust

Sixty copy-ready event starters with clear thresholds, graceful fallbacks, and calm signals, so a system can run without the founder today.

$17

The Running Cost

One operational leak, found and priced, in two business days. Every unfixed problem has a running cost, and this names the number for the one that annoys you most.

$297

The Excavation

A fixed-scope, fixed-price operational diagnostic. A 25-minute intake, five business days, and a written report naming exactly where the business depends on its founder, examined across the Six Pressure Points.

$2,000

The Handling

Hands-on implementation of what an Excavation revealed, scoped strictly to those findings and finished at handover.
